For a nightclub or bar answering Instagram DMs, BetterSocials fits best at $29 a month for four accounts. See how Manychat and Meta's free tool compare.

A nightclub, bar or event venue can automate its Instagram DMs, as long as the tool works inside Meta's messaging limits. Of the tools here, BetterSocials fits that job best. It's an AI social media manager that puts comments and DMs in one inbox and replies in the venue's voice from rules the owner writes, from $29 a month, or $24 billed yearly, for four accounts. Manychat suits venues that build guest-list funnels in a flow builder, and Meta Business Suite sends free keyword templates.
Which DM tool fits a nightclub or bar, read through Instagram's limits
Instagram's messaging limits decide what any tool can send, so we read Meta's developer docs first and each vendor's pricing page second.
Every event night creates the same work: comments and DMs that need an answer in the owner's voice.
- BetterSocials: best for venues that want comments and DMs in one inbox, with AI replies in their own voice at a flat price.
- Manychat: best for multi-step guest-list or ticket funnels built in a flow builder.
- respond.io: if guests message on WhatsApp as much as Instagram, this is the one.
- Meta Business Suite: free keyword replies for a bar that writes its own templates.
- Sprout Social and Hootsuite: best for larger hospitality groups that budget per seat.
- CreatorFlow: the low-budget pick for one Instagram account.
How Manychat bills a venue when a promo post spreads
Manychat builds Instagram DM automations in a visual flow builder, triggered by comments and keywords, and it also runs on Messenger, WhatsApp and TikTok. That suits a venue that wants a multi-step funnel, such as a guest-list sign-up followed by a ticket link.
Every price here is what the vendor's own page listed in October 2026, unless another month is named. Manychat Pro is $39 a month for 2,500 active contacts. Each extra contact costs $0.10 on Essential, $0.05 on Pro and $0.025 on Business, billed monthly.
Picture a promo Reel that pushes a Pro account to 4,000 active contacts in a month. That adds 1,500 extra contacts at $0.05 each, so the bill comes to $39 + 1,500 x $0.05 = $114.
BetterSocials prices by connected account instead, with unlimited contacts, so the same month costs a Creator account nothing extra. Manychat still wins for venues that want deep flows or WhatsApp. BetterSocials keeps Instagram, Facebook and TikTok comments and DMs in one inbox.
Where respond.io fits for a venue team
respond.io puts Instagram DMs in a shared team inbox alongside WhatsApp and other messaging channels. It suits a venue whose guests message on WhatsApp as often as on Instagram.
BetterSocials covers a different spread. Its inbox holds Instagram, Facebook and TikTok DMs, plus comments from those apps and from YouTube, Threads and LinkedIn Company Pages, and it posts the event content too. WhatsApp isn't a BetterSocials channel, so a WhatsApp-first venue should look at respond.io first.
What Meta Business Suite automates at no cost
Meta Business Suite includes a free automation that will, in Meta's words, "send a message reply to comments on your posts that contain specific keywords or phrases" on Facebook and Instagram. That's from Meta's help pages, read in July 2026. At $0 it's the cheapest option here.
You set it up on desktop. It sends a template you write or an answer from Meta Business Agent, and it waits 15 minutes before sending unless you reply first. Each keyword automation takes up to five case-sensitive keywords, per the July pages.
Per Meta's help pages in July 2026, Meta Business Agent pauses your existing automations when you turn it on. For Instagram's AI Auto Replies, Meta warns that "messages generated by AI may not be accurate or appropriate." BetterSocials Creator adds AI replies drafted in the venue's voice, plus TikTok and YouTube comments in the same inbox.
The Instagram limits every venue tool works inside
Instagram's Messaging API, the official route Meta gives tools for comments and DMs, sets these limits for every vendor here. We took each quote from Meta's developer documentation on private replies and its messaging policy pages in October 2026.
A 24-hour window on every DM
Instagram only lets a business reply to a DM within 24 hours of the person's last message. After that, the conversation stays closed until they write again. Meta's docs add that "One-time notifications are not available for IG Messaging API."
Past the window, BetterSocials and most other tools can't send a DM.
The Instagram app still can.
One private reply per comment, within 7 days
Meta's private replies page says "Only one message can be sent to the Instagram user who commented. The message must be sent within 7 days from when the comment was created." The conversation continues only when the person answers, and then the 24-hour window applies.
Non-followers land in Requests
Meta says a private reply goes to the person's "Inbox folder, if the Instagram user follows the Instagram professional account, or to the Instagram user's Request folder, if the Instagram user does not follow the account." A promo that reaches new people sends many of its DMs to Requests, so a public reply under the comment tells them where to look.
Live comments close with the stream
Meta's docs say "private replies on Instagram Live Story comments can only be sent during the live broadcast." A venue that goes live from the floor has to send its keyword DMs before the stream ends.
TikTok runs on tighter numbers
TikTok lets tools reply to DMs only, at most 10 replies within 48 hours of the person's last message, on Business accounts outside the UK and Europe. A TikTok comment can't trigger a private DM on any tool outside TikTok's limited rollout in Vietnam, Thailand and Indonesia.
Approved access, never a password
Tools on Meta's approved API send you to Meta's own permission screen, and the tool never sees your Instagram password. BetterSocials and Manychat both connect this way, and Meta Business Suite is Meta's own tool. A tool that asks for your password logs in as you.
Shared inboxes for promoters, hosts and door staff
Sprout Social puts its shared inbox on Standard at $199 per seat a month, billed annually, as of October 2026. Hootsuite includes its inbox from Standard at $99 per user a month, billed annually, also as of October 2026. Three seats come to 3 x $199 = $597 a month on Sprout Social and 3 x $99 = $297 on Hootsuite.
Agorapulse runs $79 per user a month. Its October 2026 pricing page lists inbox tools a door team uses: assigning comments and messages, reply collision detection, saved replies and AI reply suggestions.
BetterSocials Team is $99 a month, or $79 billed yearly, for 12 accounts and unlimited teammates, with 4,000 shared AI credits a month. On annual billing that's $79 against Hootsuite's $99 for a single user. The gap grows with every seat. Price per month for a venue, side by side
BetterSocials, Manychat, Meta Business Suite, Sprout Social, Hootsuite and CreatorFlow appear below at each one's entry plan for this job. CreatorFlow's price is from September 2026 and Meta's keyword limit from July 2026.
| Tool | Plan and price | Limit | Best for |
|---|---|---|---|
| BetterSocials | Creator, $29 or $24 yearly | Four accounts, unlimited contacts | Comments and DMs in your voice |
| Manychat | Pro, $39 monthly | Up to 2,500 active contacts | Flow-built guest-list funnels |
| Meta Business Suite | Free, $0 | Five keywords per automation | Free keyword templates |
| Sprout Social | Standard, $199 per seat yearly | One seat per price | Large groups on seat budgets |
| Hootsuite | Standard, $99 per user yearly | One user per price | Teams buying per-user inbox seats |
| CreatorFlow | Pro, $15 or $12 yearly | Two accounts, 5,000 DMs | Instagram-only keyword DMs |
Meta Business Suite and CreatorFlow cost less than BetterSocials. CreatorFlow is Instagram only. Its replies are templates, with no AI. The extra on BetterSocials buys AI replies in the venue's voice, TikTok DMs and YouTube comments in the same inbox, and a flat bill.
How BetterSocials handles a venue's DMs
Nightclubs, bars and event venues whose comments and DMs bring in guests get those messages answered in their own voice from one BetterSocials inbox. AI rules are plain sentences the owner writes, such as the hours, cover charge, dress code and table link, and every AI reply follows them.
Setup in three steps
- Connect Instagram and Facebook on each platform's own sign-in screen, in under a minute per account.
- Write AI rules with the hours, cover, dress code and table link.
- Set the DMs section of AI replies to Draft for me, approve the drafts, then switch everyday answers to Reply in my voice.
On Reply in my voice, a DM gets an answer about a minute after it arrives. Questions wait in Needs reply unless the owner turns on Answer questions too, which needs at least one AI rule. When the rules don't cover what someone asked, the DM waits for a person.
Leads, stories and keywords
Lead tags mark questions about price, booking or availability, and a new lead sends a push notification to the owner's phone. Instagram story replies and voice messages land in the Inbox as DMs with a plain label such as "Replied to your story," and they wait for a person.
A keyword such as GUESTLIST in an Instagram or Facebook comment sends the commenter a DM with the link and posts a public reply under the comment. On TikTok, YouTube, Threads and LinkedIn Company Pages, the keyword posts a public reply with the link.
Creator includes one login and 1,000 AI credits a month, one per AI reply. Pro is $49 a month, or $39 billed yearly, for six accounts. Every plan has a 7-day free trial, card required. Start your free trial from BetterSocials' pricing page, or see how it works in its help center guide to the Instagram DM reply window.
FAQ
Can a bar automate Instagram DMs without breaking Instagram's rules?
Yes, when the tool connects through Meta's approved API. You grant access on Meta's own permission screen, and the tool never sees your password. BetterSocials and Manychat both connect this way, and Meta Business Suite is Meta's own tool.
Does Manychat cost more when an event post goes viral?
Yes. Manychat Pro is $39 a month for 2,500 active contacts, and each extra contact on Pro costs $0.05, billed monthly. At 4,000 active contacts in a month, the 1,500 extra contacts take the bill to $114. BetterSocials stays $29 a month, or $24 billed yearly, for four accounts at any audience size.
Is Meta Business Suite's Instagram DM automation free?
Yes. Meta Business Suite sends a DM reply to comments that contain your keywords, at no charge. You set it up on desktop, the message is a template you write, and it can wait 15 minutes before sending unless you reply first.
Can AI answer guest-list and table questions in Instagram DMs?
Yes. In BetterSocials, AI replies have a DMs section with three settings: Off, Draft for me and Reply in my voice. The AI answers from the hours, cover and table link in your AI rules, and anything outside them waits for you in Needs reply.
Can a venue's whole team share one Instagram inbox?
Yes. BetterSocials Team is $99 a month, or $79 billed yearly, for 12 accounts and unlimited teammates. Sprout Social's inbox starts at $199 per seat a month and Hootsuite's at $99 per user a month, both billed annually.
How long does a venue have to answer an Instagram DM?
24 hours from the person's last message. After that, BetterSocials and most other tools can't send a DM until the person writes again. You can still answer in the Instagram app.
